Using saved replies (macros) to answer faster
Create reusable saved replies and insert them with a single slash command to answer common questions in seconds.
Saved replies (also called macros) are pre-written answers to the questions you get over and over. Instead of retyping the same response, you insert it in a second while keeping a consistent voice. Saved replies are available on the Basic plan and above.
Create a saved reply
- Go to Settings > Saved replies.
- Click New saved reply.
- Give it a short shortcut (for example
shippingorrefund-policy). - Write the reply text and click Save.
Insert one while replying
In the reply box of any conversation, type / to open the saved replies menu. Start typing to filter by shortcut, then select one and it drops into your message. You can edit the inserted text before sending.
Tips for great macros
- Keep them focused. One macro per topic is easier to find than a giant catch-all.
- Use clear shortcuts you would actually search for.
- Review them regularly so links and prices never go stale.
- Personalize before sending so the reply still feels human.
If a question comes up constantly, turn the macro into a public Help Center article too. On Pro, HelpBird's AI can auto-reply from your Help Center, deflecting those repeat questions before they reach the inbox.
